Product Privacy Notice

Effective date: August 15, 2026

This notice is for the people who use the ATXfleetOS application — drivers, dispatchers, office staff — on app.atxfleetos.com or a company subdomain. The single most important thing to know: your employer administers this system. It decides what's collected, who can see it, and how long it's kept. 1. Who does what with your data

Your employer (the ATXfleetOS customer) owns and controls the data in its system, including data about you. It configures which features are on — GPS tracking, time clock, photos, messaging — and is responsible for giving you any legally required notices about monitoring.

ATXfleetOS hosts and processes that data only to provide the service to your employer, under a written agreement. We don't sell it, we don't use it for advertising, and we don't use it to train AI models.

To see, correct, or ask for deletion of your information, talk to your employer — it controls the data, and we assist with requests it directs to us.

2. What the application processes

Depending on which modules your employer enables:

  • Identity and work records — name, contact details, role, HR records your employer keeps
  • Time and pay — clock-in/out times (including the location a punch comes from), timesheets, pay calculations
  • Vehicle location — GPS position and movement of vehicles, sourced from your employer's telematics (e.g., its Samsara account), including geofence entries and exits
  • Photos — inspection and damage photos taken for work purposes
  • Communications — messages sent through the platform's messaging features, which your employer may archive
  • Usage and security logs — sign-ins, actions taken in the app, IP addresses

3. How it's processed and where

Data is hosted on infrastructure in the United States and processed by a short list of service providers we publish at atxfleetos.com/subprocessors/. Some features send content to AI providers (Anthropic, OpenAI) under commercial API terms that don't permit them to train models on it; your employer can have AI features disabled for its account. Security practices — mandatory two-factor authentication, tenant isolation, encrypted transport, backups — are described at atxfleetos.com/security/.

4. Retention

Data is retained while your employer's account is active, per its configuration and policies. When a company leaves ATXfleetOS, its data is available to it for export for a defined window and is then deleted from our systems on a defined schedule. Records your employer must keep by law (for example, certain DOT records) are its responsibility to export and retain.

5. About workplace monitoring

Monitoring features — vehicle GPS, geofencing, location-verified time clock, communications archiving — are turned on and used by your employer, which is responsible for any notice or consent the law requires where you work. One design choice built into the product: the time clock's location check can decline a punch, but clocking out is never blocked, and your employer is responsible for paying all hours you actually work.

6. Children

The application is a workplace tool for the employees and contractors of trucking companies. It is not directed to children under 16, and we do not knowingly collect their information.
